Join Our Team: Operations Coordinator

Join The Shadow Project’s team! Manage key operations that allow us to serve students with learning challenges and teachers at over 40 schools.

The Operations Coordinator (OC) is a 20 hour/week position that 1) manages procurement, distribution, and inventory of high-quality teacher & student materials that support academic and social emotional growth for over 1,500 students each year and 2) supports general organizational operations. This is a hybrid position: 50% in person at our NE Portland warehouse and 50% remote. During peak seasons, more in person work may be required.

Together with all Shadow staff, volunteers, and Board members, the OC is responsible for centering equity in all aspects of their processes and products, and continually seeking out opportunities to improve practices of equity and anti-racism.

The OC reports to the Executive Director, but may perform specific duties under the general direction of the Program Director.

Primary Job Duties

Shadow Store (90%)

  • Manages free online Shadow Store for special education teachers, including procurement, inventory management, Shopify website, educator user support, program materials budget, and distribution metrics.
  • Ensures on-time delivery of materials to teachers
  • Communicates with teachers regarding orders, inventory, and incentive requests
  • Works in the warehouse as needed to perform shipping/receiving and physical inventory functions
  • Oversees volunteers who support inventory management and delivery of materials to teachers throughout Portland Metro
  • Procures in-kind donations from business partners
  • Serves as a thought partner in program development and improvement


General Operations Support (10%)

  • Serves as Google Workspace administrator
  • Manages organization data dashboard, ensuring staff submit accurate & on-time data
  • Manages office supplies & equipment; liaisons with technical support vendors as necessary


Minimum Requirements

  • 2 years’ experience coordinating projects or programs
  • Strong technical and computing skills; highly proficient in Excel/Google Sheets
  • Excellent organizational skills and attention to detail
  • Able to work independently, collaborate on a team, and learn new skills
  • Possess a sense of service and commitment to The Shadow Project’s mission
  • Be willing to reflect on and take action to increase racial justice and equity
  • Able to perform work at The Shadow Project’s warehouse and office in NE Portland and Multnomah County school sites
  • Able to show proof of COVID-19 vaccination
  • Have a valid driver’s license and proof of auto insurance
  • Able to pass a criminal background check

  • Life knowledge/experience of disability, neurodiversity, racism, and/or poverty.
  • Shipping/Receiving experience


Additional Requirements

While performing the duties of this job, the employee is required to stand, walk, and/or sit. When working in the warehouse, the employee will regularly lift and/or move up to 40 pounds. Collaborative work with team members is regularly performed within the hours of 8 a.m. to 5 p.m., Monday – Friday, with occasional evenings or weekends required. The CO will be provided with a laptop and reimbursement for general office supplies and mileage for travel between work sites.

Compensation

$21/hour. The Shadow Project covers 100% of premiums for employee medical, dental, and vision insurance. Generous paid time off totaling up to 14 days of leave. $50/month WFH stipend.
